For a sector that has spent billions on digital transformation, global freight moves with a surprising degree of opacity. Ask any US importer sourcing goods from Vietnam and the answer is usually some version of the same complaint: the tracking portal says one thing, the forwarder says another, and nobody seems to know exactly where the shipment is between Ho Chi Minh City and Los Angeles. This is not a minor inconvenience. In a supply chain where a 48-hour delay can trigger stockouts, chargebacks, or expedited air freight costs, the inability to see what is actually happening is a genuine operational liability.

The technology exists. The problem is everything around it.

Why Legacy Infrastructure Still Dominates Vietnam's Freight Ecosystem

Vietnam's logistics sector has grown at a remarkable pace over the past decade, but growth does not always translate into modernization at the operational level. A significant portion of freight handling—particularly in inland provinces and secondary industrial zones—still runs on manual documentation, paper-based handoffs, and warehouse management systems that were not designed to share data with external platforms.

When a shipment leaves a factory in Binh Duong or a textile hub in Hai Duong, the data trail often begins on a spreadsheet. That spreadsheet may eventually feed into a freight management system, but the translation is rarely seamless. Timestamps get approximated. Exceptions get noted informally. By the time the shipment reaches a major port or airport, the digital record is already several steps behind physical reality.

This matters enormously for US buyers who rely on carrier tracking portals or third-party visibility platforms. Those tools can only surface data that has been properly captured and transmitted upstream. When the upstream data is incomplete, the downstream view is fiction.

The Handoff Problem Between Vietnamese Forwarders and US Carriers

International air freight and ocean shipments from Vietnam typically involve at least two distinct parties: a Vietnamese freight forwarder or customs broker who manages the origin side, and a US-based carrier or importer of record who takes custody on arrival. The gap between those two parties is where visibility most frequently breaks down.

The challenge is not technological incompatibility so much as it is commercial and organizational. Vietnamese forwarders often operate on local TMS platforms or proprietary systems that do not natively integrate with the APIs used by US carriers or global tracking aggregators. Data must be manually re-entered or transmitted via EDI feeds that are inconsistently maintained. When a shipment changes hands at Tan Son Nhat or Noi Bai International Airport, the event may not be recorded in a way that propagates to the importer's dashboard for hours—or at all.

For high-frequency shippers with established carrier relationships, some of this friction can be addressed through dedicated integration work. For smaller importers or those using spot-market freight, it almost never is.

Customs as a Visibility Black Hole

Perhaps the most consistent complaint among US importers is what happens during customs clearance—on both ends of the journey. Once a shipment enters the Vietnamese customs system, it can effectively disappear from any external tracking view for a period that ranges from a few hours to several days. The same phenomenon occurs on the US side, particularly when shipments are flagged for additional examination by US Customs and Border Protection.

This is not unique to Vietnam. Customs authorities worldwide operate their own systems, and those systems are not designed with importer visibility as a priority. But the combination of Vietnamese export customs procedures and US import processing creates a double black hole that can account for a substantial portion of total transit time—time during which the importer has no reliable information and no ability to intervene.

Some forwarders attempt to bridge this gap by stationing local agents at key inspection points and providing manual status updates. This works, but it is expensive and inconsistent. It also scales poorly for importers moving high volumes across multiple product categories.

What High-Performing Importers Are Actually Doing

The companies that have made the most progress on Vietnam shipment visibility share a few characteristics. First, they treat visibility as a procurement criterion rather than an afterthought. When selecting freight forwarders and carriers, they require demonstrated API connectivity with their internal systems and specify data delivery standards in their service agreements. This forces providers to either invest in integration or lose the business.

Second, they invest in multicarrier visibility platforms—tools like project44, FourKites, or Flexport's tracking layer—that aggregate data from multiple sources and apply machine learning to fill gaps when raw data is missing. These platforms are not perfect, but they materially reduce the frequency and duration of blind spots.

Third, and perhaps most importantly, they build redundancy into their information architecture. Rather than relying on a single data feed, they cross-reference carrier updates with port authority data, airline manifest systems, and customs release notifications. When one source goes dark, another provides a proxy.

The Path Forward: Structural Solutions for a Structural Problem

Solving the Vietnam shipment visibility problem at scale requires action at multiple levels. At the industry level, greater standardization of data formats and transmission protocols between Vietnamese logistics providers and global platforms would reduce the translation friction that corrupts data quality. Initiatives like the International Air Transport Association's ONE Record standard offer a framework, but adoption in Vietnam remains limited.

At the company level, US importers should resist the temptation to treat visibility as a software problem with a software solution. The tools matter, but they are only as good as the data feeding them. Investing in stronger relationships with origin-side partners—including shared technology infrastructure and contractual data-sharing obligations—will consistently outperform any dashboard upgrade.
